POLICY AND PROCEDURES ON USE OF LIBRARY ROOMSGENERAL POLICYGuiding principle: We wish to make the facilities in the library as accessible as possible to our campus public for academic purposes. The main objective for these rooms is provision of library services to our patrons. This includes formal and informal instruction and group study. Other uses may be scheduled as well if they do not conflict with the accomplishment of the primary objective for the room. More specific information for each room is listed below. Generally, campus committees or campus organizations may not schedule these facilities as regular meeting rooms. All rooms are equipped with at least one Category 5 data drop. The McGuire Instructional Room has a desktop computer with DVD capabilities, a video cassette player, and digital overhead projection. One of the library’s wireless network nodes is also located in the McGuire room. The Kessinger Study Room has a large TV monitor, a videocassette player, and a DVD player on a stand. There is a desktop computer in the Cole Study Room. The library does not provide any other audio-visual equipment for the rooms. Only the McGuire Instructional Room, Kessinger Study Room, and Library Conference Room can be darkened. All rooms have individual temperature and fan speed controls. Food is allowed in these rooms only when specifically approved by the library director for a calendared event. Food planning and cleanup are the responsibility of the requester. Furniture arrangements are also the responsibility of the requester. Users are responsible for cleaning up and returning rooms to their original configuration. ROOMS AVAILABLE A. McGuire Instructional Room Function: Designed for library instruction given by the library faculty. May be requested by classroom faculty for occasional use when the built-in equipment is needed. The McGuire Room remains locked unless in use for instruction or scheduled events. For security reasons, the room is unavailable for individual or group study and for student-only events. However, students whose class presentations, using the projection equipment, are scheduled in the McGuire Room may reserve the room to practice. Capacity: 12 two-person student desks. Chairs and tables are normally in lecture room arrangement, but may be arranged in various other configurations such as conference setting, sets of multiple tables put together to accommodate group work, etc. Features: Has digital projector mounted from ceiling. Has three white boards and one manually controlled projection screen. Built-in wiring to accommodate data transfer from the library PC to digital projector. Equipment can handle videocassettes, DVDs, Internet resources, and files on the library PC and the campus network The laptop lab is located in the McGuire Room. The equipment was acquired with state grant-funds to support library research and is reserved for use in library instruction by library faculty. B. Kessinger Study Room Function: Designed primarily for group study. Is large enough for a small seminar class to use upon occasion. Capacity: Has two conference tables accommodating approximately 8 - 10 persons. Features: Has one white board, a TV monitor, a videocassette player, and a DVD player. C. Small study room next to library circulation supervisor’s office Function: Designed as a small group study room. Capacity: Has 1 four-person table and four chairs. Features: Has one white board. D. Cole Study Room Function: Designed primarily as a quiet study room for use during hours library is open and as an all night study room during the academic year. May also be used for scheduled events such as literary discussions, reports from student trips, etc. if the session is open to the campus public. May also be used for small receptions such as during alumni weekend. Capacity: Has 3 four-person tables and four rocking chairs. A few additional chairs may be brought in from other areas of the library. Features: Has restroom, one desktop computer and emergency phone. E. Library Conference Room (Lower Level) Function: Designed primarily for library staff and crew meetings. Capacity: Has one conference table accommodating approximately 8-10 persons. Features: Has one white board and adjacent “mini-kitchen.” Kitchen can be isolated from the Conference Room. EQUIPMENT LOCATED OUTSIDE THESE ROOMS The library does not serve as a campus media center. However, we do have modest equipment in the library loft. We have two combination TV monitors / videocassette players and two TV monitors connected to DVD players. Earphones are available at the Circulation Desk. PROCEDURES The room calendar is kept at the Circulation Desk. The library circulation supervisor is the coordinator of room calendaring. David O. Bradshaw, or another member of the library faculty or staff, will help faculty set-up the library PC, videocassette player, or DVD player in the McGuire Instructional Room if this equipment is needed. Sufficient notice is required. Library staff opens the McGuire room for authorized, scheduled events. The room users are responsible for notifying the librarian when the class/meeting is over so she/he can lock up. We expect all users to be careful of the rooms. Please use only the white boards and dry erase markers. PLEASE DO NOT TAPE, THUMB TACK, OR OTHERWISE ATTACH ANYTHING TO THE MAPLE WALLS.
