How do I reserve a vehicle? Vehicles may be reserved by going to this link http://www.warren-wilson.edu/~motorpool/requestform.php, which is located on the inside page under Motorpool’s “Vehicle Request Form”.

 

I have a reserved a vehicle, what next?

Once your reservation is approved, we will email you to confirm the time, date, etc.  You may pick up your vehicle at the Motorpool between 8am to noon and 1 to 5pm Monday through Friday or have us drop it off at a previously arranged location on campus.  It is highly recommended to call Motorpool a week before your trip to check on vehicle conditions and/ or to alert us if your vehicle needs have changed.  This is very helpful to us in accommodating all of our users’ needs. 

 

How do I properly return a vehicle?

Cars, minibuses, and vans can either be parked in the Motorpool parking lot or left at a previously agreed upon location on campus, ie Kitteredge, Dustbowl, Witherspoon Loading Dock, Jensen Loading dock, or under the bridge behind Gladfelter.

Keys should be returned to the key box on the exterior door to the Motorpool or the locked box next to Public Safety on lower Ogg.

  

What vehicles are available to reserve?

3          Five-passenger cars

3          Seven-passenger minivans

2          Ten-passenger vans

8          Fourteen-passenger minibuses

2          Twenty-five-passenger buses (Require CDL)

  

What licenses are required for each vehicle?

In order to drive a campus vehicle you must not only have a valid state license but also a campus license authorizing you to drive that type of vehicle.

 

How do I get a campus license?

Campus licensing occurs at the Motorpool office between 8am to noon and 1 to 5pm Monday through Friday.

In order to speed up the process please do the following:

            For a golf cart license:

E-mail Motorpool (Motorpool@warren-wilson.edu) and request the golf cart licensing documents. We will send you information on golf cart safety and a written golf cart test along with a sheet for a golf cart driving test. Have your supervisor take you out and fill in the “Golf Cart Road Test” paper. Bring in the road test paper along with the written test and your campus ID and we will issue you a campus license.

            For a car/minivan license:

Bring in your state-issued license and campus ID to the Motorpool office and we will issue you a campus license.

            For a ten-passenger or fourteen-passenger license:

Have your supervisor send Motorpool an e-mail (Motorpool@warren-wilson.edu) with your name and campus ID number. We will then send you an e-mail with the heading of "Educational and Institutional Insurance Administrators Inc <support@alertdriving.com>” to two online tests that you must take on minibus safety procedures. After you have passed both of those tests we will set you up with an instructor to take you out for a driving test to make sure you are capable of handling a minibus. After that come to the Motorpool office during our licensing hours with your state-issued license, campus ID, and proof of passing the driving test and we will issue you a campus license. *Please note*: you must be 19 years of age and have your state-issued license for at least 2 years before you are permitted to obtain this type of license.

            For a 25-passenger license:

Bring in your state-issued CDL license along with your campus ID and we will issue you a campus license. 

  

How much do you charge for renting a vehicle?

It costs fifty cents per mile driven for each of our vehicles. Each vehicle comes with a full tank of gas and you will receive a reimbursement through accounting for any fuel bought. Bring a copy of the fuel receipts to the Motorpool so the transportation costs charges to the department can be credited.

 

How are reservation priorities established?

Vehicles are reserved on a first-come, first-serve basis so please plan ahead and reserve your vehicles well in advance!

 

My reservation has been declined, what do I do?

If your reservation has been declined you can use personal vehicles, look into renting a vehicle from Enterprise Rental Company or change the date and or time of your trip. On occasion it may be possible to borrow cars or minivans from other campus offices. When renting a non-Warren Wilson vehicle be sure to purchase the maximum amount of insurance. You may contact these offices directly; WPO, SLO, admissions and student services all have vehicles that they do not rent, but occasionally they are kind enough to loan them out to support other campus functions. All declined vehicle requests will be placed on a waiting list. If the vehicle(s) meeting your needs become(s) available you will be contacted.

 

Is there any place a vehicle can not be driven too?

Vehicles can not be driven outside the continental United States. Our insurance will not cover them. If a vehicle is rented for a college trip outside the United States it will not be covered by our insurance. It may be possible to rent a vehicle but insurance will have to be purchased separately.
